Dynamics 365 & Business Central for Trade Contractors
A Microsoft partner has quoted you Business Central. Here is the honest, trade-by-trade answer on whether your business actually needs ERP-class software — or whether it is a five-figure solution to a $15-a-month problem.
The short answer, across every trade
For most trade contracting businesses under about 40 staff, Dynamics 365 Business Central is overkill. It is a full ERP — financials, inventory, supply chain and job costing in one system. It is genuinely powerful, and it is genuinely a months-long, five-figure implementation.
We see the same buyer question repeat, almost word for word, across flooring, kitchen & bath, plumbing, carpentry, paving and countertop businesses: “is ERP overkill for a business my size, or am I actually leaving money on the table by not having it?” The honest answer depends on one thing — whether your real problem is stock and job costing (an ERP problem) or quotes going cold after a good conversation (a CRM problem, and the far more common one). This hub breaks that decision down for the trades where we see this question most often.
Business Central and Dynamics 365 Sales are not the same product
This trips up nearly every contractor who gets a Microsoft quote, regardless of trade, and it matters, because you may be being sold the wrong half of the stack.
๐ญ Business Central
Microsoft’s ERP for small and mid-sized businesses. It runs the back office: financials, purchasing, stock, warehousing, job costing, projects. It is what replaces your accounting system, not your sales process.
๐ Dynamics 365 Sales
Microsoft’s CRM. Leads, opportunities, pipeline, forecasting. This is the part that competes with Pipedrive and HubSpot — and it is licensed separately from Business Central.
โ ๏ธ Why it matters
If your pain is lost quotes, a partner quoting you Business Central is solving a problem you may not have. Ask them directly which of your symptoms the ERP fixes, and which need the Sales module on top.
The one test that decides it, in any trade
๐ฆ You carry real stock or run multi-site
Materials held across a warehouse or several branches, lot/batch tracking that matters, or several trading entities needing consolidated financials. This is where a CRM stops coping and Business Central starts earning its cost.
๐งฎ You need live job costing
Large or bespoke contracts where you need committed cost, actual cost and margin per job while the job is running, not weeks later. A genuine ERP-grade problem.
๐ณ๏ธ Or is it just follow-up?
You quote, and the quote sits. Nobody chases it. The customer goes with whoever called back first. No ERP fixes this — it is a sales-process problem, and a $14-per-user CRM solves it in days.
In every trade we have reviewed, the second scenario is far more common than contractors expect — and it is the reason so many Business Central conversations start with the wrong diagnosis.

Business Central vs Dynamics 365 Sales vs a light CRM
Prices below are approximate Microsoft published list prices per user per month and change over time — always confirm current pricing with Microsoft or your partner. The number that actually decides the business case is the implementation cost, not the licence.
| System | What it actually is | Approx. list | Time to value | Best for |
|---|---|---|---|---|
| Business Central Essentials | Full ERP — finance, stock, purchasing, jobs | ~$70/user/mo | Months, partner-led | Stock-holding, multi-branch trade businesses |
| Business Central Premium | Essentials plus manufacturing & service management | ~$100/user/mo | Months, partner-led | Rare unless you manufacture in-house |
| Dynamics 365 Sales Pro | CRM — leads, pipeline, forecasting | ~$65/user/mo | Weeks | Teams already committed to Microsoft |
| ๐ Pipedrive | CRM — quote-to-close pipeline, follow-up automation | ~$14/user/mo | Days | Most trade contractors losing quotes to slow follow-up |
| HubSpot CRM Free | CRM with a genuinely usable free tier | $0 | Days | Testing whether a CRM helps before spending |
Recommended starting point
Fix the follow-up first. It is cheaper and faster.
Whatever trade you run, if quotes going cold is costing you jobs, prove the fix with a CRM before committing to an ERP project. If you later outgrow it, nothing is lost — you will arrive at the Business Central conversation knowing exactly what you need.

A sensible sequence, whatever trade you run
- Fix the pipeline first. Put every enquiry and quote into a CRM with a mandatory follow-up task. Cost: about $14 per user per month. Time: a few days. This is where the fastest money is.
- Measure what it recovers. After one quarter you will know your quote-to-win rate and how much slipped follow-up was costing. That number is your real ERP business case.
- Then assess the back office. If stock, multi-branch financials or live job costing are still genuinely hurting, you now have evidence — and you will scope Business Central far more accurately.
- Integrate rather than replace. If you do go to Business Central, keep the CRM your team already adopted and connect the two, rather than forcing them into an ERP interface and losing the sales data you spent a year building.
Frequently Asked Questions
Is Dynamics 365 Business Central good for trade contractors?
It depends entirely on the trade and the business, not the label “contractor.” Business Central is a strong fit for stock-holding, multi-branch businesses that need live job costing. It is a poor fit for smaller contractors who order material per job and whose real problem is quotes not being followed up — which a $14-per-user CRM fixes far faster and cheaper.
What is the difference between Business Central and Dynamics 365 Sales?
Business Central is Microsoft’s ERP — finance, inventory, purchasing and job costing. Dynamics 365 Sales is Microsoft’s CRM — leads, opportunities and pipeline. They are licensed separately, and a Microsoft partner quoting you one does not automatically mean you need the other.
How much does Business Central cost for a trade contracting business?
Published list pricing is roughly $70 per user per month for Essentials and $100 for Premium. Confirm current figures with Microsoft, as pricing changes. The larger cost is implementation: partner-led rollouts commonly run into the tens of thousands once data migration, stock setup, chart-of-accounts design and training are included.
Do I need an ERP or just a CRM for my trade business?
Ask what is actually costing you money. If it is stock, multi-branch financials or job costing you cannot see until a job closes, that is an ERP problem. If it is enquiries not converting because nobody chased the quote, that is a CRM problem — and it is the more common of the two across every trade we have reviewed. Start with the cheaper diagnosis; a CRM takes days to prove or disprove.
